How to Complete Page 2b: Non-Performance Attendance

Overview

Page 2b captures attendance data for non-performance activities--events of any type that occur outside the walls of a fixed seating venue. In this regard, non-performance refers to the space where the event is taking place, not the content.

For instance, you might have staged a balled in the outdoor sculpture garden in front of your building, which would classify that performance as a Dance event taking place in the non-performance space called "sculpture garden."

Other common non-performance activity include educational workshops, public tours, and volunteer engagement.

Before You Begin

Gather the following information:

  • Any attendance records related to events that occured outside of your fixed seating venues

  • Educational workshop attendance

  • Tour participation data

  • Community event attendance

Configure a Non-Performance Space

Before you can report any activity data related to a non-performance space like a lobby or front plaza, you'll need to configure any relevant space using the Activity Spaces settings.

Your user account must be designated as an Org Admin in order to access the Manage Spaces options in Settings.

Set up a new non-performance space:

  1. Select Activity Spaces from the Settings menu:


  2. Click Create Space

  3. Provide a Name

    1. ex: "Lobby"

  4. Provide an address

    1. Put your cursor in the "Search Venue Address" bar and type the beginning of the address where the space is located (doesn't have to be the same as your primary venue). After the first 2-3 characters, you'll begin to see Google searching for the address. Once you see the correct address in the list, select it. The individual address components will automatically populate the fields below (Address, City, State, Zip, etc)

  5. Provide a Venue Type

    1. "Lobby" is its own type; do your best to find the closest match

  6. Provide the space Capacity

    1. For large spaces with variable capacity (like an outdoor lawn area, etc), enter a number that represents a realistic maximum occupancy for that area. This might be designated by the fire marshall or your events team.

  7. Select "This is primarily a non-performance space"


  8. Click the Save button to save the space settings and return to Page 2b

Completing This Page

Be sure to enter all attendence for events that took place outside of a fixed seating venue space. Below are a couple examples of common non-performance activity, but many PACs stage entire programs in non-traditional spaces like a lobby or atrium. Be sure to report all such activity on this page.

Educational Activities

  • Enter data for educational workshops:

    • Number of workshops held

    • Total attendance

    • Types of programs offered

Public Engagement

  • Record public tour information:

    • Number of tours conducted

    • Total participants

    • Special tour programs

Special Considerations

  • Include all organized non-performance activities

  • Count each participant only once per program

  • Include both scheduled and impromptu tours

Tips for Success

  • Keep consistent records of all non-performance activities

  • Include docent-led and self-guided tours

  • All fields auto-save as you enter data
