Activity Spaces

Updated this week

The Activity Spaces module is where you manage all performance and non-performance venues and spaces in your organization.

Spaces created here are referenced on Pages 2a and 2b in Benchmark data input forms, and the information entered on those pages is used in utilization, occupancy cost, and capacity calculations throughout the platform.

Access it at ⚙️ Settings > Activity Spaces.

Performance vs. Non-Performance Spaces

Performance spaces are fixed-seating venues where ticketed events take place. Non-performance spaces are everything else — lobbies, outdoor plazas, atria, and similar areas where activity occurs outside a fixed-seating context. This distinction affects how activity data is reported: performance space activity is entered on Page 2a, non-performance space activity on Page 2b.

Creating a New Space

  1. Navigate to ⚙️ Settings > Activity Spaces

  2. Click Create Space

  3. Enter a Name

  4. Enter an Address — begin typing and select from the Google autocomplete results.

  5. Select a Venue Type — choose the closest match

  6. Enter a Capacity

    1. Use a realistic maximum such as fire marshal occupancy.

    2. You'll enter the actual capacity for a given fiscal year during data entry on Page 2a or 2b.

  7. Check This is primarily a non-performance space if the venue isn't a traditional continuous performance space, but is used for activity.

    1. Example non-performance spaces: lobby, atrium, outdoor lawn area, lounge, etc.

    2. Utilization days are not recorded for non-performance spaces.

  8. Check Exclude this space from occupancy cost metrics if the activity that takes place in this venue should not be included in occupancy cost metrics (such as an off-site venue used temporarily)

  9. Click Save

Managing Existing Spaces

Use the Edit button in the Actions column to update any space.

Spaces can be set to inactive when no longer in use — inactive spaces are hidden from data entry forms but their historical data is preserved.

Org Admin access is required to create or edit spaces.
