Activity Spaces

What is the Activity Spaces module?

The Activity Spaces module is where you manage all performance and non-performance venues or spaces within your organization. It serves as the central repository for venue details that are referenced in data input forms and used for important calculations throughout Performance Analytics, including space utilization metrics, occupancy cost calculations, and capacity analysis.

Accessing Activity Spaces

  1. Click the βš™οΈ Settings icon in the top-right corner of any screen

  2. Select "Activity Spaces" from the settings menu

Key Functions

  • Create and manage comprehensive venue/space inventory

  • Designate spaces as performance or non-performance venues

  • Track venue capacity and status (active/inactive)

  • Configure which spaces are included in occupancy cost metrics

  • Specify venue ownership information

Space Management

The Activity Spaces interface displays a table of all your organization's spaces with information about each venue's name, type, and active status.

Viewing Spaces

The main screen shows:

  • Name: The venue or space name

  • Type of Space: Whether it's a performance or non-performance space

  • Active: Whether the space is currently active (indicated by a checkmark)

  • Actions: Edit button to modify space details

Creating a New Space

To create a new space:

  1. Navigate to Activity Spaces (Settings > Activity Spaces)

  2. Click the red "Create Space" button at the bottom of the spaces list

  3. Complete the required fields (marked with asterisks):

    • Space Name: Enter the name of the venue or space

    • Owner Name: Select the owner from the dropdown

    • Venue Address: Enter the venue's address (with search functionality)

    • Venue City, State, Zip Code, and Country

    • Venue Type: Select from the dropdown (e.g., Theater-Proscenium)

    • Capacity: Enter the seating or occupancy capacity

  4. Set configuration toggles as needed:

    • "This venue is not active": Toggle on if the space is inactive

    • "Exclude this space from occupancy cost metrics": Toggle on to exclude from cost calculations

    • "This is primarily a non-performance space": Toggle on for non-performance spaces

  5. Click "Save" to create the space

Editing an Existing Space

To edit an existing space:

  1. Find the space in the management table

  2. Click the "Edit" button in the Actions column

  3. Modify any information that needs updating

  4. Click "Save" to update the space details or "Cancel" to discard changes

Deactivating a Space

To deactivate a space without deleting it:

  1. Navigate to Activity Spaces (Settings > Activity Spaces)

  2. Click the "Edit" button for the relevant space

  3. Toggle "This venue is not active" to the on position

  4. Click "Save" to update the space status

Deactivated spaces remain in the system but won't appear in certain reports or drop-down selectors in the data inputs.

Relationships with Other Settings

The Activity Spaces module interacts with these other modules:

  • My Organization: Shares venue count information used in organization profile

  • Benchmark data input forms: Uses venues defined here for attendance and utilization metrics

Important Considerations

  • At least one performance space must be defined and active for Benchmark reporting

  • Space activation status affects whether venues appear as options in the select drop-downs on pages 1A, 2A and 2B

  • Performance vs. non-performance designation affects how spaces are categorized in analytics

  • Non-performance spaces do not require Utilization information (counts of performance days, maintenance days, etc)

  • Occupancy cost exclusion allows you to exclude spaces from cost metrics

  • Capacity information is critical for attendance percentage calculations

  • Different venue types may have specific reporting implications in analytics
