What is the Organization Chart Configuration module?
The Organization Chart Configuration module enables users to create and maintain a structured representation of their organization's positions, departments, and hierarchical levels. This visual mapping of roles serves as the foundation for data collection in the Compensation module and ensures that data is consistently organized for accurate analysis and reporting across the platform.
Accessing Organization Chart Configuration
Click the βοΈ Settings icon in the top-right corner of any screen
Select "Organization Chart Configuration" from the settings menu
Key Functions
Create and manage position titles
Build a department and level-based organizational structure
Designate positions as employee or outsourced/contract
Arrange positions using an intuitive drag-and-drop interface
Define hierarchy across up to 7 organizational levels
Configure fiscal year-specific organizational structures
Copy structure from previous years to streamline annual updates
Organization Chart Management
The Organization Chart Configuration interface displays position titles on the left side and a grid representing departments (rows) and levels (columns) on the right.
Viewing the Organization Chart
The main screen shows:
Position titles list on the left (with checkmarks for placed positions)
Fiscal year selection dropdown at the top
Department/level grid with placed positions
Visual indicators for position status (employee vs. contract)
Creating Position Titles
To create a new position title:
Navigate to Organization Chart Configuration (Settings > Organization Chart Configuration)
Select the appropriate fiscal year from the dropdown
Enter a position title in the text field on the left side
Click "Add" to create the position
Optionally check "This position is outsourced/contract" if applicable
Position appears in the left panel ready to be placed on the grid
Placing Positions on the Chart
To place a position on the organization chart:
Identify the position in the left panel
Click and drag the position to the appropriate department/level cell on the grid
Release to place the position
A green checkmark appears next to the title in the left panel, indicating it's placed
The position appears in the selected cell on the grid
Editing a Position Title
To edit an existing position title:
Find the position in the left panel
Click the edit (pencil) icon next to the position
Modify the position title
Click the checkmark to save changes
Position title updates throughout the system
Removing a Position from the Grid
To remove a position from the chart without deleting it:
Hover over the position on the grid
Click the delete (trash) icon that appears
Position is removed from the grid and returns to the left panel
Green checkmark is removed from the position in the left panel
Converting Employee/Contractor Status
To change a position's status between employee and contractor:
Find the position in the left panel
Toggle the "This position is outsourced/contract" checkbox
Review the warning about employee-specific data being removed
Click "Convert this Role" to confirm the change
Copying from Previous Year
To copy the organization chart from a previous fiscal year:
Select the current fiscal year that needs configuration
If the previous fiscal year has a submitted/locked org chart, a "Paste from previous year" button appears
Click the "Paste from previous year" button
The entire org chart configuration is copied to the current year
Edit as needed for the current year
Important Requirements
Administration Level 1 must be filled (typically CEO/Executive Director)
All positions must be placed on the grid before Compensation data can be submitted
The org chart must be configured before Compensation data entry can begin

Analytics Contribution Tracker: Controls ability to edit the org chart after data submission
User Management: Permissions to modify the chart are set here
Important Considerations
The org chart is fiscal year-specific (changes in one year don't affect other years)
Once Compensation data is submitted, the org chart becomes locked for that fiscal year
Positions must be placed on the grid before Compensation data can be entered
Converting between employee and contractor status affects what data fields are available
Level 1 in Administration is required and represents the top executive position
Multiple positions can be placed in the same department/level cell
Position titles must be unique within a fiscal year
Troubleshooting
Issue | Cause | Solution |
Unable to submit Compensation data | "Orphaned" positions not placed on grid | Either place all positions on the grid or delete unused positions |
Warning when converting position status | Data loss risk when changing type | Review carefully before proceeding; only convert if appropriate |
Position appears in wrong location | Drag-and-drop error | Remove position from incorrect location and drag to proper cell |
